Title: NetSuite Grant Administrator

Position Summary:
This is a full-time position with American Bird Conservancy (ABC). American Bird Conservancy is a fast-growing, results-focused wildlife conservation non-profit seeking employees with an entrepreneurial spirit and a desire to make a difference for birds throughout the Americas. ABC tackles the greatest problems facing birds today, innovating and building on rapid advancements in science to halt extinctions, protect habitats, eliminate threats, and build capacity for bird conservation.
The NetSuite Grant Administrator supports Development staff by managing the U.S. domestic grants, sub-awards, and contracts in ABC’s Grant Management System, NetSuite, throughout the post-award grant life cycle. This position will review grant awards, sub-awards, and contracts, and create and populate associated records and data in NetSuite. They will coordinate with the appropriate staff to ensure that data is complete and tracking is up-to-date and accurate.
Primary Duties:
- Manage grant, sub-award, and contract data in ABC’s Grant Management System, NetSuite, using PyanGo functionality:
- Assign new Grant IDs and create NetSuite codes, in consultation with Development and Finance staff;
- Extract detailed data from grant, sub-award, and contract paperwork and other sources, and enter into NetSuite;
- Create and manage grant and sub-award records, donor records, project records, milestones and staff assignments;
- Record federal pass-through data, indirect rates, grant restrictions, match requirements, modifications, and other details;
- Alert the appropriate staff to missing data and missed deadlines in the system and follow up to ensure records are completed;
- Ensure NetSuite sends regular milestone notifications to the correct personnel;
- Provide reports and responses to data queries as requested;
- Triage internal questions from program staff about NetSuite’s grant and sub-award data;
- Participate in Grant Launch and Close-Out Meetings and associated procedures;
- Support Project Tracking as related to Grant and Sub-Award activities;
- Liaise with the Finance Team to ensure proper Grant financial tracking, reporting and close-outs appear correctly in the system;
- Participate in educating staff on NetSuite procedures;
- Review draft grant and sub-award agreements and contracts as requested.
- Work with ABC’s NetSuite Consultant to improve the system.
Position Requirements:
- Bachelor’s degree and at least five years’ experience in grant administration and data entry or related work, or a combination of relevant education and experience.
- Extremely detail-oriented; enjoys data entry and research.
- Excellent organizational skills, time management skills, and successful experience managing complex activities.
- Excellent written and oral communicator.
- Proficiency with databases and Excel; experience and certification with NetSuite, PyanGo, and EveryAction CRM systems preferred.
- Familiarity with U.S. Federal Grants and Uniform Guidance.
- Ability to work independently, efficiently and accurately, while maintaining deadlines.
- Ability to work well as part of a team.
- Ability to work with a wide range of people at all levels and a diversity of backgrounds.

- Ability to maintain confidentiality of donor information.
- Must be authorized to work in the US.
- Experience working in conservation considered a plus.
- Background screening required
