    POSITION DESCRIPTION

    POSITION TITLE:  Finance Administrative Assistant

    DEPARTMENT:  Finance

    REPORTS TO: Vice President Finance / CFO

    SITE:  HQ, Washington DC

    SALARY: UP to $42,000

    FLSA:  Non-exempt

    Summary:

    This position provides assistance to the Finance department.  This position includes a wide variety of responsibilities including cash receipts processing, record retention, and report distribution

    Essential Responsibilities:

    ·         Cash Receipts:

    o   Receive all checks from secure lockbox

    o   Review and identify proper processing for all checks

    o   Forward checks for deposit and data entry

    o   Assist in completing requests for ACH / wire information for incoming payments

    ·         Record Retention:

    o   Attach completed electronic voucher documentation to voucher records within the accounting Database; save documentation to appropriate file location

    o   Maintain the physical records of the Finance Department in accordance with established record retention, including annual transmission of documents to offsite storage location

    ·         Report Distribution:

    o   On a monthly basis download all bank and investment account statements

    o   On a monthly basis download and distribute monthly credit card statements

    o   Mail Finance Department documents as necessary

    ·         Accounts Payable:

    o   Set up new vendor records in Accounting database based upon completed W-9’s

    o   Maintain up-to-date vendor list on intranet

    o   Follow up with staff for documents/information missing from Accounts Payment submissions

    o   Enter payment information into contracts database at the conclusion of each weekly check run

    o   Follow up with payees on outstanding checks

    ·         Other duties as assigned

    Travel:

    ·         This role does not require regular travel.

    An equivalent combination of education and experience may be accepted as a satisfactory substitute for the specific education and experience listed below

    Education

    Associate Degree in relevant field

    Experience

    1+ years administrative experience

    ·         Strong communicator (written and oral) with superior customer relations skills; demonstrated ability to articulate complex ideas clearly, accurately and concisely; ability to work remotely efficiently; ability to represent Defenders to external entities and the public, exercising tact, diplomacy, discretion and professionalism

    ·         Excellent interpersonal skills and ability to interact with a variety of people, including federal/state agencies, elected officials and their staff, Defenders’ members, and the general public

    ·         Ability to follow instructions with consistency and meticulousness, independently develop and implement project plans and strategy, execute multiple projects along varied timelines and priorities, work under pressure, and multi-task; use problem-solving and trouble-shooting skills with willingness to experiment and innovate new methods.

    ·         Demonstrates an awareness and sensitivity to the needs and concerns of individuals from diverse cultures, backgrounds and contributes to the creation of a diverse, equitable and inclusive work culture

    ·         Requires high level of computer literacy with advanced knowledge of Microsoft Word, Excel, PowerPoint, Outlook, and Internet applications.

    ·         Personal interest and commitment to conservation

    Work Environment and Physical Demands:

    General office working conditions, the noise level in the work environment is usually quiet. While performing the duties of this job, the employee is regularly required to use a computer and communicate with others while doing so. This role may require occasional travel.
