The Center Associate (part-time) will provide high-quality administrative support to the Audubon Greenwich Center and programs. Specifically, they will be responsible for providing excellent customer service, executing rental contracts, staffing the Center’s front desk on weekends, and encouraging visitors to connect with the Center’s mission and educational materials. They will be the first The position is located in Greenwich, CT, reports to the C Save enter Director and will have a 25 hour/week schedule, Thursdays through Sundays.
About the location and the hours:
**The position will be located at Audubon Greenwich location and will report to the Center Director.
**The position is considered PART TIME and will work up to 25 hour/week schedule, **Thursdays through Sundays with Saturday and Sunday being most critical. May have flexibility to accommodate workdays, as needed, outside of weekends.
Serve as the first point of contact for people visiting the Center, ensure a warm and welcoming experience, answer questions and triage requests as needed.
Staff the Front Desk, especially on weekends, and coordinate and train Nature Store/Front Desk volunteers to assist with customer needs.
Serve as the Center’s point of contact for facility rentals:
Work closely with senior Center staff and catering contractor for event rentals to ensure that contracts are created and delivered on a timely basis.
Respond to all event booking inquiries and other public communication within one business day.
Assist with the planning and execution of Center events, including the Center’s Fall Festival
Sort incoming and prepare outgoing mail; assist with electronic submission of proposals, reports and correspondence as needed.
Inventory, order office and nature store supplies as needed.
Inventory and order store merchandise as necessary in accordance with the seasonal store purchase order calendar
Manage the Center’s main email inbox, general phone line voicemail and social media accounts.
Maintain front desk area and all common areas in a clean and tidy manner at all times.
Other duties as requested.
Qualifications and Experience
High School Diploma or GED equivalent required (Associate degree preferred) and 1-2 years' demonstrated office administration experience required. An equivalent combination of education and experience will also be considered.
Exceptional organizational skills, attention to detail and a can-do attitude are essential.
Proven ability to track and move tasks/projects to completion in a fast-paced environment.
Ability to work independently, as well as part of a small team.
Excellent customer service and communication skills.
Critical thinking skills and a problem-solving attitude.
Demonstrated proficiency in Microsoft Office products, including Outlook, Word and Excel; experience with Point-of-Sales systems a plus.
Ability to exercise discretion and maintain strict confidentiality.
Interest in the environment and conservation, knowledge of local ecology encouraged.
Bookkeeping and contract preparation experience a plus.
Bilingual in English and Spanish strongly desired.
